JOB SUMMARY:<\/p>\n

Manage day-to-day operations of the department, including administrative functions, technical services, and database and record management.
\nESSENTIAL JOB FUNCTIONS:<\/p>\n

\u2022 Confers with and assists Department Chair in all administrative and instructional matters to include determining teaching loads for faculty contracts; develops and enters class schedules; coordinates classroom assignments; determines overload and release time assignments; develops and provides department policy for adjunct faculty; explains numerous policies and procedures to faculty and students; coordinates substitute teaching assignments; composes correspondence concerning administrative and instructional matters; input syllabi into data base; coordinates textbook orders.
\n\u2022 Acts as liaison between Department Chair, faculty and students. Assigns faculty advisors to students; conducts department orientation for all majors; assists in resolving classroom and student schedule conflicts; explains drop procedures and testing procedures, provides transcripts and test scores to chair or faculty to determine if students have met course prerequisites; explains process for student and faculty grievances.
\n\u2022 Enters teaching loads for faculty contracts, advises adjunct faculty of payment schedule, and coordinates with payroll to troubleshoot pay errors, prepare payroll documents.
\n\u2022 Manages the departmental budgets and initiates financial transactions.
\n\u2022 Provides general administrative and procedural support to chair, faculty, staff, and students. Maintains and prepares documentation for general correspondence, travel, purchasing, hiring, and budgeting functions. Greets and directs visitors; responds to incoming calls, emails, and faxes; route as needed. Manages and maintains office supplies, equipment, and records.
\n\u2022 Performs other duties as assigned.
\nMINIMUM EDUCATION AND EXPERIENCE:
\n\u2022 High school diploma or GED.
\n\u2022 Three years of experience in a clerical, data entry and executive assistant field.
\nPREFERRED EDUCATION AND EXPERIENCE:
\n\u2022 Associate\u2019s degree (two year program or two years of college) or equivalent formal training.
\n\u2022 Advanced secretarial experience in an academic or occupational and technical education department.
\nLICENSES AND CERTIFICATIONS:
\nNone

\n\u2022 Extensive knowledge of department, college, and district policies, guidelines, and procedures; district purchasing procedures and policies.
\n\u2022 Proficiency using various software packages to create documents, presentations and spreadsheets.
\n\u2022 Strong written and oral communication skills.
\n\u2022 Math skills.
\n\u2022 Excellent organizational skills.
\n\u2022 Strong interpersonal communication skills.
\n\u2022 Problem-solving skills.
\n\u2022 Research and analytical skills.
\n\u2022 Ability to analyze transcript\/test scores for prerequisite status.
\n\u2022 Ability to interpret, evaluate and assess various specialized\/problematic situations.
\n\u2022 Ability to adapt quickly and concentrate on detailed projects during numerous interruptions and meet deadlines.
\n\u2022 Ability to make decisions for positive results; work independently and efficiently.
\n\u2022 Ability to work effectively with faculty, students, staff, and administrators and the general public.
\n\u2022 Ability to compose and accurately edit documents.

\nWork is performed within an office environment with no exposure to hazardous or unpleasant conditions. Physical demands are usually limited to sitting or standing in one location much of the time. Some stooping, lifting or carrying lightweight objects (under 20 lbs.) may be required.
