Office Assistant

Reports To: Sr. Executive Assistant
Department: Operations
FLSA Status: Non- Exempt

SUMMARY

This position will act as the go-to person for the Austin office. The Office Assistant will maintain the
office environment by keeping things tidy, bright and welcoming.

ESSENTIAL FUNCTIONS

* Manages building security by managing the access cards and office keys. As well as
ensuring “public” doors are accessible during regular business hours.
* Oversee the custodial services including keep the CSD Café and kitchen area cleaned and
stocked.
* Maintains supplies (office & breakroom) by checking stock to determine inventory levels;
anticipating requirements; placing and expediting orders; verifying receipt; stocking items; delivering supplies to work stations.
* Maintains equipment by completing preventive maintenance; troubleshooting failures; calling for repairs and monitoring equipment operation.
* Serves customers by; answering questions; forwarding messages; confirming customer
orders; keeping customers informed of order status.
* Coordinates and prepares for meetings and special events by assisting with registrations and confirmation, reserving rooms, and arranging for refreshments and necessary equipment;
* Provide staff support by preparing bulk mailings, sends/receives faxes and e-mails,
* coordinates and confirms conference room reservations, distributes/sorts mail.
* Daily communications with the Sr. Executive Assistant and President regarding status of office activities.
* Manage the office petty cash account.
* Other office duties as assigned by supervisor.

KNOWLEDGE, SKILLS, & ABILITIES

To perform the essential functions of this position successfully, an individual should demonstrate the following competencies:

* Proficiency in MS Office suite
* Pleasant and friendly telephone/videophone demeanor
* Possesses keen attention to detail and stark organization skills required
* Must have proven experience in working in a fast-paced work environment.
* Works with minimal supervision. Ability to maintain confidentiality of highly sensitive
information.
* Results-oriented, excellent oral and written communication skills.

Fluency in American Sign Language is mandatory

QUALIFICATIONS

High School diploma/GED
Minimum of 2 years of experience in a similar office support type role

WORK ENVIRONMENT

This position is largely self-directed and requires understanding of company policy, procedures, and values.

This position operates in an office environment. While performing the duties of this job, the employee is regularly required to sit, stand, and walk. The employee regularly works in indoor conditions and on a computer. The noise level in the work environment is usually moderate.

PHYSICAL REQUIREMENTS

While performing the duties of this job, the employee is regularly required to sit and communicate via phone or videophone. The team member is occasionally required to stand and walk. The employee must occasionally lift and/or move up to 20 pounds.

National Operations Manager

Reports To: VP of Interpreting
Department: Interpreting
FLSA Status: Exempt

SUMMARY

This position supervises the day to day operation of the National Interpreting Referral Center (NIRC) which is the logistical hub start to finish for all interpreting requests this also includes billing and IC invoicing. The position is responsible for ensuring the best possible quality of service to all stakeholders.

ESSENTIAL FUNCTIONS

* Responsible for the overall operational performance of the National Interpreting Referral Center (NIRC)
* Responsible oversight and streamlining of the invoicing and billing processes.
* Support business development opportunities through client cultivation and showcasing the NIRC
* services to potential customers
* Directly supervise and support the NIRC management staff, billing, and invoicing, to ensure that day-to-day key performance indicators are being fulfilled and those benchmarks are consistently sustained.
* Respond to escalated scheduling, billing and/or invoicing concerns.
* Provide guidance and direct support in the areas of hiring, standardized processes, scheduling, and staff development.
* Support the advancement of technology in the NIRC to further enhance programmatic features
available to both customers and interpreters.
* Partner with Business Development on contract initiatives and opportunities.
* Work closely with the Vice President of Interpreting Operations to ensure P&L targets are being achieved.
** Responsible for overseeing the administration and maintenance of freelance interpreters contracts including SalesForce and MOA/policy/contractual compliance. Partner with key players in maintenance of freelance interpreter community relations.
* Provides weekly, monthly, quarterly and yearly reports to the Vice President of * Interpreting Operations.
* Participation in other duties as assigned

KNOWLEDGE, SKILLS, & ABILITIES

To perform the essential functions of this position successfully, an individual should demonstrate the following competencies:

* A high level of verbal and written communication capability is required.
* Advanced competency in knowledge of PC and Microsoft Office applications specifically Excel, Power Point.

QUALIFICATIONS

* Bachelor’s degree OR equivalent is highly preferred or combination of education and experience.
* Sign Language Interpreter Certification and prior professional experience as an interpreter is preferred but not required.
* 3-5 years of progressive responsible management experience is required.
* Experience working in a contact center environment is not required, but highly preferred.
*Available to work after hours and weekends, as required.

WORK ENVIRONMENT

* This position is largely self-directed and requires understanding of company policy, procedures, and values.
* This position operates in an office environment. While performing the duties of this job, the employee is regularly required to sit, stand, and walk. The employee regularly works in indoor conditions and on a computer. The noise level in the work environment is usually moderate.
* This position requires traveling up to 50%.

FLSA Status: Exempt

SUMMARY

Position is responsible for providing technical support and systems administration in an enterprise environment which includes Linux, OS X, Windows and mobile computing platforms (iOS and Android). Individual responsible for delivering excellent service to users, working at the direction of senior Technology Group staff, and quickly learning / implementing new technology solutions.

ESSENTIAL FUNCTIONS

* Work at the direction of senior Technology Group team members.
* Monitor and respond to help desk tickets.
* Provide effective communication to users.
* Responsible for installation, troubleshooting and administration of user workstations running Linux, OS
* X or Windows, and mobile platforms including iOS and Android.
* Regularly confers with database administrators, software developers, systems administrators and users regarding current and prospective system changes and future needs.
* Install/upgrade operating systems and application software.
* Track and maintain computer assets and software inventory.

KNOWLEDGE, SKILLS, & ABILITIES

To perform the essential functions of this position successfully, an individual should demonstrate the following competencies:

* Strong interpersonal and communication skills. Capable of training users in applications and operating system fundamentals and writing basic documentation.
* Familiarity with administration of Linux, OS X and Windows operating systems.
* Familiarity with supporting mobile platforms including iOS and Android.
* High skill with most operating system commands/utilities.
* Familiarity with most basic system administration tools and processes. For example, can add and remove user accounts, perform basic systems system maintenance with tools such as fsck or chkdsk, troubleshoot problems with the operating system and standard business applications.
* Fundamental understanding of an operating system; for example, understands job control, soft and hard links or shortcuts, distinctions between the kernel and the user environment.
* Knowledge of TCP/IP and how it relates to troubleshooting user problems.
* Experience with Active Directory and Red Hat Directory Server (LDAP) including adding/updating/removing accounts, groups, and records.
* Ability to manage group policy and WSUS.
* Familiarity with networked/distributed computing environment concepts. For example, can use the route command or administer routing and remote access service, add a workstation to a network, and mount remote filesystems.
* Ability to write scripts in some administrative language (Perl, VBScript, Powershell, shell scripting).
* Programming experience in any applicable language.

QUALIFICATIONS

* A degree in computer science or related field, or equivalent professional experience.
* 2 to 4 years of experience in the field or in a related area.
* Experience with trouble ticket based helpdesk workflow.

WORK ENVIRONMENT

* This position operates in an office environment. In the office, the employee will work on a personal computer.
* Some travel is required for this position.
