JOB SUMMARY:
Manage day-to-day operations of the department, including administrative functions, technical services, and database and record management.
ESSENTIAL JOB FUNCTIONS:
• Confers with and assists Department Chair in all administrative and instructional matters to include determining teaching loads for faculty contracts; develops and enters class schedules; coordinates classroom assignments; determines overload and release time assignments; develops and provides department policy for adjunct faculty; explains numerous policies and procedures to faculty and students; coordinates substitute teaching assignments; composes correspondence concerning administrative and instructional matters; input syllabi into data base; coordinates textbook orders.
• Acts as liaison between Department Chair, faculty and students. Assigns faculty advisors to students; conducts department orientation for all majors; assists in resolving classroom and student schedule conflicts; explains drop procedures and testing procedures, provides transcripts and test scores to chair or faculty to determine if students have met course prerequisites; explains process for student and faculty grievances.
• Enters teaching loads for faculty contracts, advises adjunct faculty of payment schedule, and coordinates with payroll to troubleshoot pay errors, prepare payroll documents.
• Manages the departmental budgets and initiates financial transactions.
• Provides general administrative and procedural support to chair, faculty, staff, and students. Maintains and prepares documentation for general correspondence, travel, purchasing, hiring, and budgeting functions. Greets and directs visitors; responds to incoming calls, emails, and faxes; route as needed. Manages and maintains office supplies, equipment, and records.
• Performs other duties as assigned.
MINIMUM EDUCATION AND EXPERIENCE:
• High school diploma or GED.
• Three years of experience in a clerical, data entry and executive assistant field.
PREFERRED EDUCATION AND EXPERIENCE:
• Associate’s degree (two year program or two years of college) or equivalent formal training.
• Advanced secretarial experience in an academic or occupational and technical education department.

PHYSICAL REQUIREMENTS:
Work is performed within an office environment with no exposure to hazardous or unpleasant conditions. Physical demands are usually limited to sitting or standing in one location much of the time. Some stooping, lifting or carrying lightweight objects (under 20 lbs.) may be required.
